As this business sees year on year success, they are seeking to appoint a Business Administration Coordinator with a strong understanding of internal operational functions, with exposure to shipping being highly advantageous.
ScopeThis position is responsible for providing business assistance to the company and its subsidiaries, specifically for their export division. The responsibilities of this opportunity include but are not limited to:
- Reconciliation of payments, credit cards and accounts;
- Process and track payments and receipts in the various accounting applications and systems;
- Provide Shipping and Logistics support in the form of coordinating shipping documents (including invoices) for customers and customs agents;
- Liaising with shipping lines and custom agents to monitor delivery details and providing relevant information to customer and suppliers;
- Assisting in coordinating logistical requirements for each shipment with suppliers and customers;
- Preparing sales contracts and invoices;
- Managing enquiries/requests and liaising with suppliers & customers;
- Support team members in assisting with the review, update and implementation of internal controls, policies and procedures;
- Compiling and submitting evidence to support the audit processes;
- Nurture positive relationships with customers and vendors;
Success Profile This position calls for a professional, respectful and proactive individual who does not shy away from a hands on operational, business critical role. The successful candidate will demonstrate a minimum of 2 years administration experience in a similar position, and understand the importance of communication with an impeccable eye for detail.
This is a highly autonomous position and you will be required to coordinate and communicate with staff at various levels to gain their cooperation and facilitate the successful completion of activities. Previous exposure with SAP and/OR MYOB is highly advantageous though not essential, as is exposure to shipping and logistics.
